Start with a small identity block
Put the VIN, build date, model-year description, original market and full trim name at the top of the sheet. Add first registration and the date of the inspection. These fields prevent a reference sheet from becoming detached from the vehicle. For a multi-car order, duplicate the sheet for each VIN; a group heading such as “2025 E-QM5” is not enough to distinguish equipment changes or replacements.
Ask for original labels and documents rather than relying exclusively on translated screenshots. Keep photographs large enough to read and request a second image where reflection hides a number. If the seller cannot identify a field, mark it as unverified instead of copying the value from another listing. Our year and version guide explains why a registration year cannot identify the configuration on its own.
Use dimensions with the correct scope
Hongqi's global model page lists a body length of 5,040 mm, width of 1,910 mm and height of 1,569 mm, with a 2,990 mm wheelbase for its presented E-QM5. These are model-reference dimensions, not a loading survey of a used vehicle. Mirrors, accessories, transport equipment and actual tyre condition still matter when planning handling or clearances.
For shipping, obtain the carrier's required dimensional and weight information for the candidate. For resale, use the approved local documentation where applicable. Do not resolve a discrepancy by averaging values from unrelated brochures. If two sheets differ, identify the market and vehicle version each describes, then obtain confirmation from the party responsible for the specific transaction.
| Field | Evidence to request |
|---|---|
| Vehicle identity | VIN, build label, registration record, original version wording |
| Battery | Label and available identifier, ownership documents, replacement history |
| Charging | Inlet photographs, equipment identity, documented session |
| Equipment | Actual cabin photographs and functional inspection |
| Condition | Dated report, diagnostic scope and repair evidence |
Identify the battery independently
Record the battery manufacturer's label, model designation, nominal capacity where documented, chemistry where verified and the diagnostic report date. Note any replacement history and whether the battery is included in the sale. A range badge is not a battery serial number, and a photographed pack does not establish ownership. Ask separately for replacement invoices and the transaction terms covering the installed battery.
The battery-health assessment belongs beside this specification sheet, not inside the factory-capacity column. Original capacity describes design; a health report attempts to describe current condition. Neither a high state of charge nor a long displayed distance proves usable capacity. Keep the measurement method and test conditions with every condition-related number you intend to use in a resale description.
Verify motor and charging equipment
Motor output and charging provisions must follow the exact version. Do not combine the motor figure from an overseas E-QM5 with the battery entry from a Chinese Travel listing. Request identification data and a matching vehicle document. Use consistent units: kilowatts, kilowatt-hours and kilometres are different quantities and should have separate labels in a dealer worksheet.
Inspect the charging inlet and obtain a recorded session with the proposed equipment. Document AC capability only when it is confirmed for that car and arrangement. The charging compatibility guide covers why connector appearance is only part of the check. A converter supplied by a seller should be identified separately, with its intended use, support and compatibility confirmed rather than silently described as factory equipment.
Make equipment claims observable
List seating configuration, seat adjustment, heating or ventilation, climate controls, cameras, parking aids and infotainment functions. Mark each as observed working, present but untested, not present or awaiting confirmation. These four states are more useful than a page of unexplained ticks. Where a function depends on an account, mobile network or subscription, explain what was demonstrated and in which country.
Photograph the actual cabin and controls. A promotional image showing a well-equipped overseas car must not stand in for the interior of a different used version. For dealer stock preparation, translate the verified equipment list into your customer-facing description only after the vehicle is selected. Retain the original inspection sheet so that later edits do not accidentally reintroduce unsupported features.
Finish with exceptions and next actions
A good sheet ends with outstanding questions, the person responsible for answering them and the buying consequence. An unknown charging arrangement may prevent approval; a missing second key may instead require a cost allowance. Distinguish those outcomes. Avoid treating every unresolved field as equally important, because the dealer needs to know which items affect the ability to import, operate or resell the vehicle.
Send the completed sheet with the quotation comparison and condition report. If any material component changes before dispatch, update the sheet and repeat the affected checks. The goal is not a longer brochure. It is a compact record that a purchaser, inspector and destination workshop can all use to identify the same E-QM5 and understand exactly what remains to be confirmed.
